Importing Contributors

 

When importing Contributors (users) into Jostle you have a choice of several different sources to import users from - Microsoft Outlook, Active Directory and so on.

Import Contributors from Microsoft Outlook

A) Import your Outlook contacts first by exporting your contacts as a .csv file from Outlook:

  1. Click the File tab
  2. Click Options
  3. Click Advanced ("Advanced command" in the Outlook Options dialogue box)
  4. Under "Export", click Export.
  5. In the Import and Export Wizard, click Export to a file, and then click Next.
  6. Under "Create a file of type", click Comma Separated Values (Windows), and then click Next.
  7. Under "Select folder to export from", select the contact folder that you want to export, and then click Next.
  8. Under "Save exported file as", click Browse, select a destination folder, and in the File name box, type a name for the file.
  9. Click OK.
  10. In the "Export to a File" dialogue box, click Next.
  11. Click Finish.

B) Once that is complete, import the CSV file into Jostle by:
  1. Click the Gear icon located in the bottom left corner to go to Administration settings (this is where all the administration settings are located and only those that have admin privileges see this icon)
  2. Go to Bulk manage Contributors > Import Contributors
  3. Click on Microsoft Outlook Contacts
  4. Click Continue
  5. Click Choose file
  6. Navigate to the CSV file you created above on your computer
  7. Click Upload
  8. If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again to add/edit the information.

Import Contributors from Active Directory

A) To import from your Active Directory, first export your users as a .csv file. Here are the fields you will want to export:

  • mail (required)
  • givenName (required)
  • sn (required)
  • mobile
  • telephoneNumber
  • title
  • department
 
B) Once that is complete, import the CSV file into Jostle by:
  1. Click the Gear icon located in the bottom left corner to go to Administration settings (this is where all the administration settings are located and only those that have admin privileges see this icon)
  2. Go to Bulk manage Contributors > Import Contributors
  3. Click on Microsoft Active Directory
  4. Click Continue
  5. Click Choose file
  6. Navigate to the CSV file you just created
  7. Click Upload
  8. If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again to add/edit the information.

Import Contributors from  ERP or HRIS system

A) To import from your ERP or HRIS system, first export your users as a .csv file.  The following information is needed for each user when exporting:

  • e-mail address (required)
  • first name (required)
  • last name (required)
  • mobile phone number
  • office phone number
  • title
  • department
 
B) Once that is complete, import the CSV file into Jostle by:
  1. Click the Gear icon located in the bottom left corner to go to Administration settings (this is where all the administration settings are located and only those that have admin privileges see this icon)
  2. Go to Bulk manage Contributors > Import Contributors
  3. Click on ERP or HRIS system
  4. Click Continue
  5. Click Choose file
  6. Navigate to the CSV file you just created
  7. Click Upload
  8. If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again to add/edit the information.

Import Contributors from CSV (spreadsheet) file

The CSV process can be used to add new contributors to Jostle or it can be used to update data for existing contributors. In either case the file can contain some or all of the Contributors in your organization.

For the case of updating it can be particularly helpful to export the current information and use it as a guide. To do this, click the Gear icon and go to Administration settings > Bulk manage Contributors > Extract/manage all Contributor data.

NOTE - while the template or the downloaded files contain most of the fields that are available, there are some additional fields that you can use. They are explained in the Template guide.

To reduce the chance of input errors, it is generally considered practice for your initial import to only include columns for necessary fields.  At it's most basic the file should contain columns for:

  • Username
  • First Name
  • Last Name
  • Work Email

From there you can add any additional columns for the data you want to set or update. TIP: If you first add some Contributors manually via Administration settings > Contributor configuration > Create a new Contributor and then do a bulk export, the exported file can be used (as mentioned above) as a guide to populating your bulk import.

The PrimarySupervisorUsername field is a special case and is specifically available for the case when a few new contributors are being added to Jostle and you wish to add then to the Main Organization chart in Teams. In order for this to work the supervisor must already exist in the Main Organization and can only appear once in Main Organization and the contributor is not yet in the Main Organization. To import larger numbers of contributors into Teams charts we recommend that you use the Reports-to import. It is strongly recommended that you do NOT import a CSV that contains a large part or all of your organization if you are including the PrimarySupervisorUsername in the file. (Note: If you import a contributor that is already in Main Organization and you specify PrimarySupervisorUsername then if you specify the same supervisor it will ignore and proceed, however if the supervisor is different it will fail.)

  1. Download & fill out the Jostle Contributors template.
  2. When your template is complete, log in to Jostle to begin importing.
  3. Click the Gear icon in the bottom left corner to go to Administration settings
  4. Go to Bulk manage Contributors > Import Contributors
  5. Click on Jostle Contributor template.
  6. Click Choose file.
  7. Navigate to the CSV file you just created
  8. Click Upload.
  9. If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again to add/edit the information.

Import Contributors from G Suite

If you signed up for Jostle through the Google Apps Marketplace, then you will have an option to import your contributors from there.

  1. Click the Gear icon located in the bottom left corner to go to Administration settings (this is where all the Administration settings are located and only those that have admin privileges see this icon)
  2. Go to Bulk manage Contributors > Import Contributors from G Suite Domain
  3. Choose to "Exclude specific users" or "Invite all", then click the Import button.

NOTE—The "Edit blacklist" option will upload a CSV file containing the usernames of blacklisted accounts to automatically populate the "excluded users" list instead. 

The imported blacklist is not incremental, meaning that each time a new CSV of blacklisted accounts is imported, it doesn’t add to the previous import, it replaces it. System Administrators can also export the current blacklist as a CSV file at any time.
