How to import users in Jostle

When importing users into Jostle you have a choice of several different sources to import users from—Microsoft Outlook, Active Directory, your HR system, and so on.

Import users from Microsoft Outlook

A) Import your Outlook contacts first by exporting your contacts as a .csv file from Outlook:

  1. Click the File tab
  2. Click Options
  3. Click Advanced ("Advanced command" in the Outlook Options dialogue box)
  4. Under "Export", click Export.
  5. In the Import and Export Wizard, click Export to a file, and then click Next.
  6. Under "Create a file of type", click Comma Separated Values (Windows), and then click Next.
  7. Under "Select folder to export from", select the contact folder that you want to export, and then click Next.
  8. Under "Save exported file as", click Browse, select a destination folder, and in the File name box, type a name for the file.
  9. Click OK.
  10. In the "Export to a File" dialogue box, click Next.
  11. Click Finish.
  12. Review the file and delete the contacts that you want to import in Jostle.

B) Once that is complete, a System Admin can import the CSV file into Jostle following these steps:

  1. Go to Admin Settings > User Data to/from Other Systems > Import Users CSV
  2. Click on Microsoft Outlook Contacts
  3. Click Continue
  4. Click Choose File and browse for the CSV file
  5. Click Upload

If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again.

Import User from Active Directory

A) To import from your Active Directory, first export your users as a .csv file.

B) Once it is complete, a System Admin can import the CSV file into Jostle following these steps::
  1. Go to Admin Settings > User Data to/from Other Systems > Import Users CSV
  2. Click on Microsoft Active Directory
  3. Click Continue
  4. Click Choose File and browse for the CSV file
  5. Click Upload

If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again.

Import users from ERP or HRIS system

A) To import from your ERP or HRIS system, first export your users as a .csv file.  The following information is needed for each user when exporting:

  • username (required)
  • email address (required)
  • first name (required)
  • last name (required)
B) Once that is complete, a System Admin can import the CSV file into your Jostle platform by:
  1. Go to Admin Settings > User Data to/from Other Systems > Import Users CSV
  2. Click on ERP or HRIS System
  3. Click Continue
  4. Click Choose File and browse for the CSV file
  5. Click Upload

If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again.

Import users from CSV (spreadsheet) file

The CSV process can be used to add new users to Jostle or it can be used to update data for existing users. In either case the file can contain some or all of the users in your organization. Users not included will be ignored.

For the case of updating it can be particularly helpful to export the current information and use it as a guide. To do this, click the Gear icon and go to Administration settings > User Data to/from Other Systems > Import Users CSV.

Note: while the template or the downloaded files contain most of the fields that are available, there are some additional fields that you can use. They are explained in the Template guide.

To reduce the chance of input errors, it is generally considered best practice for your initial import to only include columns for necessary fields.  At it's most basic the file should contain columns for:

  • Username
  • First Name
  • Last Name
  • Work Email

From there you can add any additional columns for the data you want to set or update. 

Tip: If you first add some users manually via Administration settings > User Accounts and Data > Create a New User and then do a bulk export, the exported file can be used (as mentioned above) as a guide to populating your bulk import.

To import Users via SFTP, a System Admin should:

  1. Download the Jostle user template
  2. Structure your SFTP, as required
  3. Go to Admin Settings > User data to/from other systems > Import users (CSV)
  4. Select Jostle user template
  5. Click Choose file
  6. Navigate to the CSV file you just created
  7. Click Upload

If there are any errors on the file, Jostle provides you with a downloadable report stating which rows contained errors and what the errors were.  Once those are corrected, upload the sheet again to add/edit the information.

Auto-updating the Main Org Chart during a CSV User import

It is possible to update the Main Organization Chart in Teams view during a User import. This is done on a best-efforts basis, as described below.

Note: Best practice to not do this (i.e. don't include the PrimarySupervisorUsername field column in your User upload). It's normally better to structure a second import that updates the Chart itself.

The PrimarySupervisorUsername field is a special case and is specifically available for the case when a few new users are being added to Jostle and you wish to add then to the Main Organization Chart in Teams. In order for this to work, the supervisor must already exist in the Main Organization and can only appear once in Main Organization and the User cannot already have a Role in the Main Organization.

To import larger numbers of Users into the Main Org Chart, we recommend that you use the Reports-to import. It is strongly recommended that you do not import a CSV that contains a large part or all of your organization if you are including the PrimarySupervisorUsername in the file.

Note: If you import a User that is already in Main Organization and you specify PrimarySupervisorUsername, then if the supervisor is different, it will fail.

Import users from Google Workspace

If your Jostle platform is integrated with your Google Workspace System Admins will have the option to import users from Google.

  1. Go to Admin Settings > User Data to/from Other Systems > Import Users from Google Workspace Domain
  2. Choose to "Exclude specific users", "Invite all" and/or how you want to manage the suspended or no longer accounts in Google.
  3. Click the Import button.

Edit block list

The Edit Excluded Users page has an option to upload a CSV file containing the usernames of blocked accounts (the "block list") to automatically populate the "excluded users" list instead. 

Importing the blocklist is not incremental, meaning that each time a new CSV of blocked accounts is imported, it doesn’t add to the previous import, it replaces it. System Administrators can also export the current list of blocked accounts as a CSV file at any time.

Have Jostle turned off for some Google users?

If you have Jostle turned off for some of your Google users (i.e. in your Marketplace Apps setup for Jostle you selected Status > ON for some), you can click the link "Have Jostle turned off for some Google users?" (shown above) and then on the next screen check the box next to "Only import Google domain users which Jostle platform is turned on" to avoid importing them into your platform.
