How to manage user statuses

Setting a user status allows you to communicate your current availability to your colleagues. This feature uses an emoji and a message to let others know when you’re in a meeting, on vacation, or any custom status you want to communicate. User statuses appear across the platform as an emoji at the end of a user's name and in the People view. There, you can navigate to the Status Set Smart List and see all users with a set status. On the desktop platform, you can hover over a user's name or avatar to display a tooltip with their full status text.

Manage the user status feature

This action requires System Admin rights. The user status feature is enabled by default.

  1. Go to Admin Settings > User Profiles > User Profile Status & Online Indicators.
  2. Scroll down to the User Statuses section.
  3. Check or uncheck the Enabled box to turn the feature on or off for your organization.
  4. Click Save.

Set a status

On the desktop app

All users can set their own status.

  1. Navigate to the bottom of the Main Nav.
  2. Hover over the area under your name and click Set a status.


Alternatively, click your name or avatar to open your Profile, and click Set a status.

 

On the mobile app

  1. Click “More” bottom right to open the Main Nav panel.
  2. Click on your name to open your Profile.
  3. Tap Set a status.


Using a custom status

Choose from a list of preset statuses or create a custom status. Whenever your status changes, a toast notification will briefly appear on your screen.

Using a preset status

  1. Select one of the five preset statuses: Be right back, In a meeting, Do not disturb, On
    vacation, or Out sick.
  2. Click the dropdown under "Reset status after" to modify the default reset timer.
  3. You can select a predefined time or choose a custom date and time.
  4. Click Save.

Using a custom status

  1. Select Set a custom status.
  2. Choose an emoji.
  3. Type a custom status message. The text is limited to 50 characters.
  4. Select when your status will reset.
  5. Click Save.

Clear a status

To manually clear a status before its scheduled expiry, hover over your current status in the Main Nav and click Clear current status.

On mobile or desktop, you can clear the status from your Profile by clicking Clear current status.
