Who can edit User metadata
A User's name and work email address are locked down, meaning only a System Admin can edit them.
Most other fields that appear in a User's Profile can be set to be "Org Owned", meaning only System Admins can modify them, or "User Owned", meaning Users can also update them by editing their User Profile. System Admin configure how profile fields are owned at Admin Settings > User Profiles > Configure User Profiles. Learn more about this here.
Sometimes you'll need to change the work email address or other organization-owned fields on behalf of your users. For example, if a recently-married user has a new last name they now go by and/or they have a personalized email address that was updated to reflect such changes.
Editing User metadata in User Profile
User Profile fields, except for name and work mail, can be edited directly in User Profiles. System Admins can do this for any User. Users can update their own data for any fields that are not locked down as "org owned".
To edit User metadata in a User Profile:
- Open a User Profile, which will open to the Info tab
- Click the Edit button top right
- Update any fields, as permissions allow
- Click Save top right
Editing User metadata via Edit User
System Admins can also update the metadata for a particular User in Admin Settings, as follows:
- Go to Admin Settings > User Accounts and Data > Edit, Invite, Disable Users
- Enter all or part of the User's name in the available field and click Search
- Find the User and click EDIT
- Make the needed changes to the appropriate fields
- Click Save Changes top right
Notes:
- If your changes involved an update to login method or credentials (including changing Work Email when it is being used as the Username), the User will receive an email so that they are aware of the change.
- Work Email and Username are separate fields, but it is usually best practice to leave the checkbox for Use Work Email as Username enabled. This allows Users to simply login in using their Work Email when Jostle credentials are being used.
