Events (overview)

 

Introduction

Events is Jostle's organization-wide calendar feature that lets everyone know what’s happening and when. Events simplifies the management of all the current and upcoming functions for your organization with automatic RSVP tracking, public or private settings, enabled comments and notifications, and the option to sync Events with your personal calendar.

Click Events from the Main Navigation bar to go to the Events view. Here you’ll find an at-a-glance monthly Event overview alongside a more detailed, chronological scrolling view. When you open Events, the scrolling view will automatically default to show the next upcoming Event at the top of the screen. Click on any Event to view its details, review the guest list, add personal comments or update your RSVP status.

Administrators 

Events supports two administrative roles with the following permissions:

Creators (assigned by: Managers)

  • Add, edit, and delete their own Events

Managers (assigned by: System Administrators)

  • Add, edit, and delete their own Events
  • Edit or remove any Creator’s Events

    What is the difference between a private event and a private event (FYI only). How do you get to publish a private FYI only event?

    When you create a new Event you can choose to make it "Visible to" everyone or only to those you have invited. If you choose "everyone" then those not available see it as a FYI only event -- one they know is going on but are not invited to attend.

    Is there any way to copy past events or create an event template? I have recurring meetings and I would LOVE to just copy and adjust the details...as opposed to recreating each time.

    Swati suspect you have run into a known bug that we recently introduced and that will be fixed later this week. Please email support@jostle.me. They will confirm and will likely be able to provide a workaround for you. Sorry about this.

    How can you cancel an event?  Once an event is created and people have RSVP'd, if a meeting needs to be CANCELLED, not rescheduled, it doesn't appear you can do that.  Please advise.

    Diane, you can Archive an Event, which will remove it from the Event view and the Event calendar of anyone who was invited. To do this, open the Event notice and click the "Edit" link above the Event title. Then on the Edit screen, go to the Action Bar at the top of the screen and click "Archive". You'll then get a confirmation screen. Click the blue Archive button on the confirmation screen to remove the Event.

    Is there a way to put a limit on the number of RSVP's on an event?  We would like to open the event up to all employees, but we only have 15 seats available; first come first serve.

    Steve we do plan to add an RSVP cap the next time we have EVENTS open for improvement. You might want to add this as a feature request here: https://forum.jostle.us/hc/en-us/community/topics/200352523-EVENTS-feature-requests?page=1#posts If others pile on to the request there, it will make it to the top of the priority list faster. :)

    Steve, here's a possible workaround for you, it just requires some monitoring of the Event. Once you see it has 15 people "Going" you can click the "Download Guestlist" link to the right of the RSVP numbers and then Edit the Event, change the RSVP toggle from "Yes" to "No" and then republish the Event. That will remove the RSVP feature so no one else can respond and you'll have a downloaded spreadsheet that will show you which 15 guests did RSVP before you turned it off.

    UPDATE: The Events RSVP feature now allows users to set a max. number of guests.

    Thanks Brad,

    I am actually interested in an outbound RSS. I would like to be able to feed events to a digital display board. Currently, we have to have someone manually enter this information.

    Right. Did you consider using JostleTV for this?

    If that's not going to meet your needs, we should get a new feature request in and see if others share your need.

    One of our event admins is trying to schedule a reoccurring event, but the window won't allow her to save and then it freezes up. She was able to publish the event after turning off the reoccurring setting. Can you help?
